Who we are
Leasha ("we", "us") makes AI-powered voice reception and triage software for veterinary clinics. Our agent helps clinics manage calls, triage pet symptoms, and book appointments directly into their practice management systems. We are based in Ireland and process personal data under the EU/UK GDPR.
Information we collect
Call Data & Transcripts — When you call a clinic using our service, we process the audio to understand your needs. We store a transcript of the conversation to help the clinic provide care. We only store raw call recordings for 24 hours before they are automatically deleted.
Pet & Triage Information — We collect details about your pet (species, breed, symptoms) and the triage outcome (e.g., "Emergency" or "Routine") to ensure your pet gets the right level of care.
Contact Details — We capture your phone number and any other details you provide, like your name or email, to link the call to your pet's file in the clinic's system.
Technical Metadata — Basic info like call duration and timestamps to keep the service running smoothly.
How we use it
To provide the AI receptionist service: triaging symptoms, routing emergency calls to the right human team, booking appointments, and updating the clinic's records in their practice management system.
We also use anonymised data to fix bugs and improve the product's accuracy.
AI processing
Your voice and text are processed by specialised third-party AI providers to produce transcripts and triage logic. These providers process the data to return a result to us — they do not use your data to train their own models under our agreements, and we do not use your data to train our models either.
Where your data lives
We prioritise keeping data in the EU/UK.
Database — Our database is hosted in an EU region.
Hosting — Our application logic runs on servers located in an EU region.
Telephony — Call routing and media storage are handled by providers with servers in the EU.
If any sub-processor processes data in the US, we ensure appropriate safeguards — such as Standard Contractual Clauses — are in place.
Retention & deletion
Raw Audio — Deleted after 24 hours.
Clinical Records — Transcripts and triage notes that form part of a pet's medical record are synced to the clinic's management system and kept by the clinic according to veterinary record laws (usually 3–7 years).
System Logs — We keep basic interaction logs for as long as the clinic is our customer, or until they request deletion.
Who we share it with
We don't sell your data, ever. We share it only with the clinic you called and the service providers that make the app work — database, AI logic, telephony, and the clinic's management system. We may also disclose data if required by law.
Your rights
If you're in the EU/UK, you have rights under GDPR to access, correct, delete, or port your personal data. Since we provide this service for your veterinary clinic, you should contact them first for data requests, or reach us directly:
We use industry-standard encryption (AES-256) for data at rest and HTTPS for data in transit. Access to clinic data is strictly siloed — one clinic can never see another's data.
